Chapter 02
Set your firm defaults
Your choices during onboarding shape how each company moves through its renewal. Start with these four settings.
- Solvency signing
- Choose one nominated director, or require every director to sign a circulating resolution.
- Director invitations
- When all directors must sign, choose whether to invite other directors early or at renewal time.
- Direct debit
- Make payment setup required or optional. Individual companies can have exemptions where permitted.
- Penalty Protect
- Choose the default for optional firm-funded ASIC payment before a penalty deadline.
Chapter 03
Choose the right renewal flow
Check the company's renewal state, ASIC amount, and payment status. Urgency alone does not decide the flow.
Two-Step Setup
Establish roles and payment details before a deadline needs attention.
- Clients complete setup at their own pace.
- Renewal correspondence follows automatically when due.
All-in-One Renewal
Use this when an ASIC amount is due and payment is still outstanding.
- Combine role acceptance, signing, and payment.
- Keep the client's next steps in one session.
Chapter 04
Invite your clients
Get ready with Two-Step Setup
Send invitations from the Contacts panel or the multi-company invitation wizard.
Choose a single company or several companies, then include signing, billing, or both.
Directors and billing contacts receive links to accept their roles and complete the applicable setup steps.
When the renewal becomes due, ASICPay sends renewal correspondence automatically. You do not need to invite them again.
Handle a renewal that is due
Open All-in-One Renewal from the company renewal panel. Select the required contacts, then preview the package before sending.
These invitations use more direct wording and shorter reminder intervals than Two-Step Setup.
Chapter 05
Use All-in-One Renewal
The wizard guides you through the signing contact, billing contact, and message preview.
Confirm who signs
Select a signing director when your firm requires one signer. Add their email address if it is missing.
If all directors must sign, the wizard uses your firm's signing settings instead of asking for one signer.
Confirm who pays
Select the billing contact. If the same person signs and pays, ASICPay combines the invitation where appropriate.
Preview, then send
Check the recipients and message. ASICPay selects the communication for each director's current role status.
Chapter 06
Understand the client experience
Open the invitation
The link in the ASICPay email guides clients through role acceptance, billing contact confirmation, and applicable payment setup.
All-in-One Renewal invitations that include signing take the director into the signing flow after role acceptance.
Sign the resolution
The director completes the solvency resolution in the renewal flow.
They may still need their invitation or billing link to finish payment setup. Ask them to keep the original email.
Arrange payment
Billing contacts open their billing self-service link to pay through Apxium.
They can save bank details for future renewals or use them for this payment only.
Chapter 07
Know how reminders work
Reminder schedules depend on the communication type and the step the client still needs to complete.
- Two-Step Setup: longer intervals give clients time to complete setup.
- All-in-One Renewal: billing reminders continue until payment details are captured.
- Signing: reminders follow the configured signing schedule.
Ask your technical support team for exact timings. The communications configuration controls each schedule.
Chapter 08
Help a client complete their next step
- Start with the latest email
- Ask the client to open their latest ASICPay email and keep the link in one browser tab.
- Explain their role
- Confirm whether they need to sign, pay, or do both before they start.
- Guide without taking over
- During screen sharing, let the client control their screen. Do not handle their password or payment fields.
- If payment does not load
- Try a desktop browser if the payment form does not work on a phone. Contact technical support if the problem continues.
- If an email does not arrive
- Check the email address in the contact record and ask the client to check spam before raising a technical ticket.

Terms to know
- Signing director
- The director who accepts the signing role and signs the solvency resolution.
- Billing contact
- The person who arranges funding for ASIC fees through direct debit or an approved alternative.
- In-window
- The company has an ASIC amount due within the period for payment through ASICPay.
- Two-Step Setup
- Set up roles and payment before the renewal is due. Renewal correspondence follows when the company enters the ASIC window.
- All-in-One Renewal
- The in-window flow that combines role acceptance, signing, and payment in one client session.
